NMM - Data Collection Policy


National Mailing & Marketing (ABN 37 059 249 455) PO Box 7077 Canberra ACT 2610 (referred to as "National Mailing & Marketing", "NMM", "us", "we") is collecting your personal information in order to provide print and distribution services for a commemorative medallion and certificate to mark the 50th anniversary of the end of Australia's involvement in the Vietnam War, administered by the Department of Veterans' Affairs (the Department).

We respect your right to privacy and are committed to ensuring the privacy of any personal information you provide to us.

National Mailing and Marketing is bound by the Australian Privacy Principles in the Privacy Act 1988 (Cth) (the Privacy Act), the Privacy Amendment Act (Private Sector) Act 2000, the Information Privacy Principles, the National Privacy Principles and (from March 2014) the Australian Privacy Principles.

If at any time you supply us with personal information about another person, you should ensure that you are authorised to do so and you agree to inform that person of the content of this Privacy Collection Notice.

In order to access and receive your medallion and certificate request and to enable us to send you information either electronically or via Post or Courier Services, we will collect a variety of personal information such as name, company, business or residential address, contact phone number and email address. This may include the detail of your relationship to the Veteran if you are ordering on a Veterans behalf.

If you don't provide any of the information we request, we may not be able to provide you with the materials or services requested.

Your personal information will not be shared, sold, rented or disclosed and all information provided to NMM by our clients will only be accessed and used in accordance with the Departments own Privacy Policy available at www.dva.gov.au/dva-privacy-policy. We may send the personal information that we collect about you to the Department under the guidelines of this policy.

Additionally, in order to provide the Services, we may disclose the personal information we collect about you with related companies and third parties who provide us with distribution services such as Australia Post.

NMM - Terms of Use


National Mailing & Marketing (ABN 37 059 249 455) PO Box 7077 Canberra ACT 2610 (referred to as "National Mailing & Marketing", "NMM", "us", "we") provides print and distribution services for a commemorative medallion and certificate to mark the 50th anniversary of the end of Australia's involvement in the Vietnam war, administered by the Departament of Veterans' Affairs. The underpinning business rules that apply to these services have been completed as per the directive of the Department. The overarching advice that NMM has received from the Department is that only one medallion and one embossed certificate can be ordered for any one Veteran and the distribution for these items is expected to commence in June 2023. However, on completion of the online request, a softcopy version of the certificate will be immediately available for download and self-print. The basic functionality and business rules that are applied to the campaign site are as follows.

  1. You must read and accept these Terms of Use and National Mailing and Marketing’s Data Collection Privacy Statement.
  2. To register you must create a username and use a secure password to gain access to the registration system.
  3. You acknowledge in the registration process that you are either:
    1. A living Vietnam War Veteran.
    2. A family member having sought the permission of a living Vietnam War Veteran or
    3. An authorised family member of a deceased Vietnam War Veteran.
  4. You must supply all contact information prior to being able to search for Vietnam War Veteran details. This will include your:
    1. First and Last Name.
    2. Company Name (if delivery is to business address.)
    3. Delivery address (PO boxes are acceptable.)
    4. Your best daytime contact phone number and,
    5. Your email address.
  5. To find the Veteran details you must be able to concisely provide the following three search criteria,
    1. The Veterans primary Service Number.
    2. Their enrolled First Name.
    3. Their enrolled Last Name.
  6. If your searches do not return a result then you will be directed to contact the Department for further advice.  
  7. Certificate design rules.
    1. The overall design of the certificate cannot be altered.
    2. You will be provided with a free text field to enter the Veteran's details as you want it to appear. It has a maximum character limit of 40 characters including spaces.
    3. The suggested entry format is to start with the Veteran Service ID, their preferred first and last name and any suitable Post Nominals associated with the Veteran. You can enter the detail as you wish.
    4. You will then be provided a screen proof which you can either modify or accept it for download.
  8. Updating your details.
    1. You can log back into the system at any time to update any of your contact information or the details that are to appear on your certificate up to the point where they have NOT been sent to you.
    2. If you realise there is an error on the certificate after you receive it in the mail, you will have to contact the Department to arrange for the corrections to be made and the certificate to be resent.
